Election Procedure
The following procedures will be used in electing TAICEP Directors, Chairs and Chairs-Elect of Standing Committees:
- Call for nominations
-
- Members will be invited to nominate themselves or other members. Members nominating someone else must have their confirmation of interest before submitting the nomination form.
- Current and past leaders are eligible for nomination, as long as they have not exceeded the amount of time allowed in a current position according to the TAICEP bylaws.
- Nominees must be TAICEP members in good standing when the election period opens, including compliance with TAICEP’s ethical standards.
- Nominees will provide for the ballot a recent CV/resume and a brief statement of interest, indicating experience or qualifications for the position and reasons for interest in the position.
- Securing a slate
- The Committee for Nominations and Elections will secure a qualified slate of nominees, with at least one nominee, if possible, for each position on the election slate.
- The Committee for Nominations and Election is responsible for reviewing all nominations completed within the nomination period to determine whether the nominee is eligible to be on the ballot. Nominees determined not to be eligible will be notified by email. Possible reasons to be determined ineligible include, but are not limited to, a lack of commitment needed for the role, or have unmanageable conflicts of interest. Appeals can be sent in writing to the current President within business days of the email notification, and the Board has 10 days to respond. Findings are confidential and final.
- If the nomination deadline passes and there are no eligible nominations for a position, the Board of Directors may recruit an eligible nominee.
- The Committee for Nominations and Elections will report to the Board of Directors when the final slate of nominees has been established. The Board of Directors has veto power over the slate of candidates in case of concerns that may be detrimental to the organization.
- Ballot
- All eligible and qualified nominees will be listed on the ballot. A nominee may only appear on the ballot for one position in each election cycle. If a member is nominated for more than one position, the candidate must select one position for the election ballot.
- Voting
- The voting will take place electronically, using a secure, online platform designed to host elections for organizations. To prevent manipulation of the election, the voting platform will ensure each member is eligible to cast one anonymous vote and automatically generate a transparent overview of the election results.
- Election Outcomes
-
- The candidate who receives the most votes will be elected. In case of a tie, a runoff ballot in the election shall be conducted within 5 business days between the tied candidates only. If the runoff vote results in a tie, the election shall be decided by random selection in a virtual meeting of the Board of Directors using a transparent and verifiable method. In case no votes are cast for a position, the position will be filled by the Board of Directors.
- Communication
- The official election results will be announced to the Board of Directors by the Nominations and Elections Committee, then by the presiding officer to candidates on the ballot, and then to general membership.
